All you need to know about
Microsoft 365 backup

Microsoft 365 Backup will bill you for the size of your content for 365 days from when it is added to backup protection:

Cumulative back up size of the mailboxes, SharePoint sites, and OneDrive accounts being protected. Size of OneDrive accounts and SharePoint sites are the size of the live OneDrive accounts and SharePoint sites as displayed in the live sites’ usage reports.

Mailboxes are the size of the user’s mailbox plus their online archives plus deleted items held for Backup. Deleted content in user’s Recycle Bin and second-stage Recycle Bin (also known as Site Collection Recycle Bin)

Restore points or size of restores will not be charged. Although Azure is being used to process the payments, there are no additional Azure API or storage costs beyond the Microsoft 365 Backup usage charges.

If you have a site under protection that is currently 1000 GB for the first month, you’ll be charged 1000 GB of Backup usage. If you delete content in that site such that it’s now only 500 GB, your next monthly bill will still be for 1000 GB since the backup tool is retaining that deleted content for a year.

After a year when the backup of deleted content expires, the 500 GB being retained for backup purposes will no longer be charged for Backup.

End User Responsibility:

Data Creation and Usage: End users are responsible for creating and using data within their Windows 365 environment. This includes files, documents, emails, and other content.

Configuration and Customization: Users configure their settings, install applications, and personalize their Windows 365 experience.

Data Retention and Deletion: Users decide which data to retain, archive, or delete.

Microsoft’s Responsibility:

Infrastructure and Service Availability: Microsoft ensures the availability and reliability of the Windows 365 service, including server infrastructure, virtual machines, and network connectivity.

Security and Compliance: Microsoft implements security measures to protect data, such as encryption, access controls, and compliance certifications.

Backup Infrastructure: Microsoft provides backup infrastructure to protect against data loss due to hardware failures, accidental deletions, or other unforeseen events.

Shared Responsibility Model:

Windows 365 follows a shared responsibility model. While Microsoft provides robust infrastructure and backup capabilities, end users play a crucial role in managing their data.

Users should be aware that Microsoft’s backups are primarily for disaster recovery, not individual file-level recovery. If a user accidentally deletes a file, they may need to rely on their own backups or OneDrive for Business for recovery.
